Job descriptionPosition BriefAn exciting opportunity to join the Employee Mobility Services team at New York University Abu Dhabi. Position SummaryNew York University Abu Dhabi NYUAD is currently seeking an Assistant to support the Employee Mobility Services team in providing excellent relocation and settlingin services to NYUAD employees.  Reporting to the Employee Mobility Services Specialist for NYUAD the position will carryout administrative duties required to support the smooth operation of the department.  The Employee Mobility Services Assistant will be responsible for ensuring high level services are provided to NYUAD faculty researchers and staff in the process of their relocation and transition as well as settling in to Abu Dhabi once hired both internationally and locally.   Key ResponsibilitiesUpdate maintain new joiners database and employee files prepare materials for relocating employees including livingworking guides and local school information and respond to general enquiriesOrganize recruitment and orientation trips for incoming employees arrange appropriate travel and accommodation coordinate relocation sessions schedule school visits and send Visitor Relocation Information KitAssist in the relocation of employees schedule relocation briefings  initiate travel shipment and school enrolments with providers organize firstday orientation and send out Safe Journey EmailsCoordinate payments of school application fees and compilemaintain a spreadsheet of local school information including staff with enrolled children vacation calendars and fee due datesCoordinate shipping and storage services for employees initiate services with suppliers act as the pointofcontact for enquiries organize payments through the procurement system and maintain a tracker of quotes and invoices etc.Organize travel and arrivals in Abu Dhabi process travel requests liaise with NYUAD housing department to ensure availability and readiness of housing maintain a tracker of arrivals and prepare welcome packsAssist with the repatriation of employees initiate relocation process with suppliers shipping schools travel and NYUAD housing department assist with repatriation queries such as furniture sale automobiles pets etc.    Education requirements essentialBachelor’s Degree or any combination of education training or experience that provides the required knowledge skills and abilities Experience requirements essential13 years administrative and operations experience preferably in a fastpaced international environmentPrevious work experience in an employeeglobal mobility environmentProficiency with standard Microsoft Office package e.g. Word Excel PowerPoint Photoshop and strong internet research capabilitiesAbility to handle and prioritize multiple assignments and projects on timesensitive schedules with a sense of urgencyExcellent interpersonal communication skills and cultural sensitivityDemonstrated initiative ability to problem solve and prioritize work tasksStrong attention to detail and ability to proofread own workProfessional maturity and judgment including discretionDemonstrated initiative ability to problem solve and prioritize work tasksAbility to liaise with stakeholders at all levels of NYUADSound mathematical more...
